Executive Summary

TableRock Residential deployed EliseAI’s LeasingAI product to improve their lead nurturing across 2,500 units in the greater Boise area, improving lead-to-lease rates up to 10%, automating over 16 hours of monthly staffing work, and successfully capturing the 39% of inquiries that came in after-hours.

Introducing TableRock Residential

TableRock Residential, an Idaho-based multifamily management company, excels in building strong partnerships and maximizing asset value for owners. Since its 2019 inception, it has managed over 2,500 units in Idaho’s Treasure Valley, establishing itself as an innovation leader. However, like many in the industry, TableRock faced challenges in staffing and lead nurturing, especially in meeting rising customer expectations post-pandemic.

Challenges Prior to Implementing AI

TableRock Residential, like many other operators, had a few key obstacles standing in their way of delivering best-in-class prospect journeys. Staffing shortages, particularly in some local Boise submarkets, meant that communities between 150-200 units were forced to run with one onsite team member. This made it difficult for them to simultaneously manage high lead volume while also serving the needs of their residents. The inconsistent lead nurturing that resulted from short staffing made it challenging for their team to accurately track and measure ROI on marketing spend, and they had to spend more on lead-generating efforts to make up for the leads that were missed.

Beyond the operational challenges that came with high lead volume, Amber Heafy, Vice President at TableRock Residential, recognized that AI could help TableRock differentiate itself against local competitors who had not yet adopted advanced AI and automation technology. With few, if any, other operators in the region deploying AI, Amber realized from her past experience with AI solutions that answering prospect inquiries around the clock with AI could be a significant differentiator in the Boise submarket. Fortunately, Amber had already worked with EliseAI at her prior organization, and was quick to reach out to the EliseAI team.

Introducing EliseAI

EliseAI is the leading provider of AI and automation solutions designed for the needs of modern multifamily operators. Today, over 400 different organizations deploy EliseAI’s products to manage the full prospect-to-resident journey in millions of units of rental housing around the US. EliseAI’s products automate the most tedious parts of the renter lifecycle, from sending tour follow ups to scheduling work orders to circulating renewal offers and more, enabling onsite teams to focus on building meaningful connections with residents while AI-powered conversion improvements result in increased NOI.

Impact of EliseAI Deployment

Deploying EliseAI’s LeasingAI product across TableRock Residential’s full portfolio drove significantly enhanced lead capture and conversion metrics for TableRock. With LeasingAI managing inbound and outbound messages to prospects, including scheduling tours and following-up to confirm attendance, TableRock Residential was able to boost their lead-to-tour rate north of 30%, while also improving lead-to-lease to over 10%. TableRock saw a noted improvement in after-hours lead engagement and tour scheduling, with 39% of all inquiries coming in after the leasing office was closed.

With EliseAI handling messages around the clock, TableRock successfully converted 57 after-hours leads to leases in the fourth quarter of 2024. The team saw rapid occupancy improvements for communities with historically high vacancy rates, like one community that quickly trended from 79% occupancy to roughly 95% as a result of automated lead management efforts with immediate response times.

Beyond the financial impact of deploying LeasingAI, TableRock has also received excellent qualitative feedback from their prospects and onsite team members about the performance of the AI. According to the TableRock team, prospects and new residents alike often come into the office asking for “Quinn,” TableRock’s AI, by name, wanting to thank him for his prompt and helpful replies. TableRock’s onsite teams also gave positive feedback about the AI rollout, thrilled that they no longer had to manage tedious manual tasks like sending tour confirmation emails and instead could focus on providing high-quality tours to the prospects that their AI scheduled. TableRock Residential’s usage of AI has also become a powerful selling point in their toolbox as they look to attract new clients, recognizing that it’s a key competitive advantage in the Idaho market.

TableRock Residential began with a 90-day pilot in late September 2024 to coincide with their budget cycles. This pilot provided immediate proof-of-concept for the value of AI, as demonstrated by the conversion improvements, and motivated the TableRock Residential team to fully commit to LeasingAI across their entire portfolio. Their AI implementation leadership team, composed of Amber, Lexi, and Kevin, drove the rollout through monthly check-ins with EliseAI, strong change management strategies, and consistent communication with their onsite teams. They emphatically and proactively supported their team members to overcome any initial apprehension, leaning into the messaging that AI should be thought of as a valuable team member rather than just a new piece of software.

Choosing EliseAI Over Competitors

The decision to deploy EliseAI over competitors was largely based on two factors: Amber’s prior positive experience with EliseAI, and the head-to-head comparison her and her team members, Lexi Bakken, Marketing Director, and Kevin Gannon, Regional Support Specialist, conducted. For one, Amber was confident that if EliseAI could keep up with high lead volume in Denver, a busier market, that it would also perform well in Boise. Amber also knew, having already experienced EliseAI’s advanced conversational capability firsthand, that the quality of EliseAI’s products exceeded other solutions on the market. Her team surfaced similar feedback during their head-to-head evaluation, raising concerns about the integration capabilities of several other AI platforms as well as the lack of comprehensive reporting features offered by other tools.

Looking Toward TableRock’s AI-Enabled Future

The TableRock Residential team is excited about their ongoing collaboration with EliseAI. While they started exclusively with the LeasingAI product, their team is continuing to look into the rest of EliseAI’s products, including ResidentAI and VoiceAI, to continue improving their operational efficiency as the Boise submarket continues to mature. The partnership TableRock Residential has built with EliseAI sets the stage for future scalability of the relationship, and reflects a commitment to technological innovation as a core aspect of their growth strategy. At the root of it all stands TableRock Residential's commitment to providing best-in-class living experiences for their customers, with a little help from “Quinn.”
